See who has registered to be in the office each day, track hybrid attendance patterns week over week, and plan facilities staffing based on expected headcount.

Overview

Who's In displays a weekly attendance registration report based on employees who have indicated they'll be in the office through the HqO app. Navigate to HqO Admin > Operations > Who's In to access the report.

The report shows total registration counts per day of the week. Clicking any day reveals the full list of employees registered for that date, including their name, company, and arrival details.

No integration or hardware setup is required β€” Who's In populates automatically as employees register their in-office days through the HqO mobile or web app.

⚠️ Note: Who's In reflects employee self-reported registrations, not verified badge-in events. For physical access data from door readers, see Access Control. For a request-and-approval workflow with capacity limits, see Capacity Manager.

Weekly view

The primary view shows one week at a time. Each column represents a day of the week (Monday through Sunday). Each column displays:

Click any day column to expand it and see the full employee list for that date.

Employee list

When you click a day, a panel or expanded view shows all employees registered for that date. The employee list includes:

Click any employee row to open their user record in the CRM.

Filters

Narrow the report to a specific group or time period using the filters at the top of the page:

Core workflows

View this week's attendance

  1. Go to HqO Admin > Operations > Who's In.
  2. The current week loads by default.
  3. Review the registration counts across all days in the week view.
  4. Click any day to see the list of registered employees for that date.

Navigate to a past or future week

  1. Click the back arrow (<) next to the date display to go to a previous week.
  2. Click the forward arrow (>) to advance to a future week.
  3. Optionally, click the date picker to jump to a specific date.

Filter attendance by team or department

  1. Click the User Group dropdown at the top of the page.
  2. Select the team, department, or audience group you want to filter by.
  3. The weekly view updates to show only registrations from users in that group.

View employees registered for a specific day

  1. Locate the day column for the date you want to review.
  2. Click the column to expand it.
  3. Review the employee list, including names, company, arrival time, and registration date.

Export the attendance report

  1. Apply any filters (week, user group, building) to scope the export.
  2. Click the download icon (↓) at the top of the report.
  3. The report exports as a CSV file for use in spreadsheets or external reporting tools.

FAQ

Is Who's In the same as Access Control attendance? No. Who's In shows self-reported registrations β€” employees indicate they plan to come in, but this is not verified by physical access hardware. Access Control shows verified badge-in events recorded by door readers. Use both together for a complete picture of intent versus actual presence.

Is Who's In the same as Capacity Manager? No. Who's In is informational β€” it shows registrations without an approval step or capacity limit. Capacity Manager is a request-and-approval workflow where employees request to attend and admins approve or deny against a configured daily limit.

Can employees register for multiple days at once? Yes. Employees can register for multiple days in a single action through the HqO mobile or web app. All registered days appear in the weekly view under the relevant date columns.

Why is a day showing zero registrations? Either no employees registered for that day, or registrations haven't been submitted yet. Employees register in advance through the HqO app β€” remind your team to submit their attendance plans before the start of the week.

Can I see Who's In data for multiple buildings at once? If you manage multiple buildings, use the Building filter to switch between properties. A combined cross-building view is available if your HqO configuration supports it. Contact your HqO account team for details.

Who can see the Who's In report? Admins with Operations or People permissions in HqO Admin can view the report. Individual employees see their own registrations in the HqO app but do not have access to the admin-level report.
