Upload and organize documents that tenants can access through the HqO app.
Overview
The File Repository is a centralized document library for your buildings. Upload files here and link them to content tiles in the tenant app so tenants can access handbooks, floor plans, policies, and other building resources on demand.
Files are organized by type and building, making it easy to manage documents across a portfolio.
Getting started
You can upload files immediately from this page. Once uploaded, link files to content tiles in the tenant experience to make them available to tenants.
🔒 Permission required: Uploading and managing files requires content management permissions in HqO Admin.
File record fields
| Field | Description |

| Name | The file title as displayed in the repository |
| Type | Category: Tenant resources, Building information, or Brand assets |
| Building | The properties this file is associated with |
| Uploaded by | The administrator who uploaded the file |
| Date uploaded | When the file was added to the repository (sortable) |
Core workflows
Upload a file
- Go to HqO Admin > Files > File Repository.
- Click Add file.
- Select the file from your computer.
- Enter the document name and select the file type.
- Assign the file to one or more buildings.
- Click Save.
Link a file to a content tile
- After uploading, navigate to the Experience section in HqO Admin.
- Open or create the content tile where you want to surface the file.
- Select File as the content type and choose the file from the repository.
- Publish the tile. Tenants can now access the file in the app.
Filter files
- Use the Type filter to narrow the list by file category.
- Use the Date range filter to find files uploaded in a specific period.
Replace or delete a file
- Click the file row to open the detail view.
- Upload a new version to replace the existing file, or click Delete to remove it.
⚠️ Note: Deleting a file removes it from any content tiles it was linked to. Tenants will see a broken link until you update the content tile with a replacement.

FAQ
What file formats are supported? The File Repository supports PDF, DOCX, XLSX, PNG, JPG, and other common document and image formats. Contact your HqO account team if you need support for a specific format.
Can I restrict a file to specific tenants? File visibility is controlled by the content tiles they are linked to. Tile-level audience targeting lets you show files to specific tenant segments.
How large can uploaded files be? File size limits depend on your HqO plan. Contact your HqO account team for current limits.
