Communications Beta

Get a message out to tenants from your phone — compose push and email, preview both, target an audience, and send now or schedule for later.

Overview

Communications on mobile covers the send: composing, previewing, targeting, and scheduling. It's built for the moments when a message can't wait for you to get back to a laptop — a lift outage, a fire drill, an entrance closure.

Audiences themselves are still built on the desktop. On mobile you pick from the audiences that already exist for the building.

Open it from the Comms tab in the bottom bar, or from the menu.

🔒 Permission required: Communications requires the Notifier or Super Admin role. Without one of those, the tab doesn't appear, and opening a direct link shows "Communications Not Available." Roles are managed in HqO Admin under Settings > Roles & Permissions.

Reviewing communications

The list is split into tabs:

TabWhat it shows
AllEvery communication in your scope
ScheduledQueued to send at a future date and time
SentAlready delivered
DraftsStarted but not yet scheduled or sent

Tap any communication to open it. The detail screen shows its core details, the audience it targets, and previews of how it appears as a push notification and as an email.

Sending a communication

Tap the + button in the bottom action bar and choose Schedule Communication, or open Send Communication from the menu. The form walks through three steps.

Step 1 — Details

Pick the building, then turn on the channels you want. You can send push, email, or both in one communication.

Send Push Notification asks for:

FieldNotes
TitleThe bold first line on the lock screen
BodyKeep it short — phones truncate long push text

Send Email asks for:

FieldNotes
Sender Display NameWho the email appears to come from, e.g. Building Management
Send FromThe sending address, chosen from the addresses configured for the building
Use custom reply-to addressTurn on to route replies somewhere other than the sending address, then pick the Reply To address
Email TitleThe heading shown at the top of the email body
Email SubjectThe subject line in the inbox
Email BodyThe message itself

A live preview of both the push notification and the email updates as you type, so you can see how the message lands before you send it.

Step 2 — Schedule

Choose one of two tabs:

  • Send Now — the communication goes out as soon as you submit.
  • Schedule for Later — pick a date and time.

Step 3 — Target

Select the audiences that should receive the communication. Audiences are searchable, which matters when a building has a long list.

If you turned on both push and email, you get an extra switch: Use separate audiences for Email and Push. Turn it on to target a different audience per channel — useful when, for instance, everyone should get the email but only on-site staff need the push.

💡 Tip: Push is interruptive; email is not. For anything urgent and time-boxed — a lift outage, a drill — send both, with the push short and the detail in the email.
