View and manage lease records for tenant companies in your building β tracking terms, status, and key dates in one place.
Overview
The Leases page is the property team's central record of tenant lease agreements. Each lease is tied to a tenant company in CRM > Tenants and captures the contract term, renewal status, and key operational details.
Navigate to HqO Admin > Leasing > Leases to get started.

Portfolio view
Three summary cards at the top give an at-a-glance snapshot:

| Upcoming expirations | Leases expiring soon that may need renewal attention |
Lease records
Each lease record in the list includes:

| Tenant | The tenant company associated with the lease |
| Building | The property where the lease applies |
| Suite / Floor | The specific space covered by the lease |
| Lease Start | The date the lease term begins |
| Lease End | The date the lease term expires |
| Status | Current state: Active, Expiring Soon, Expired, or Pending |
Core workflows
Add a lease record
Click Add lease (top right). Creating a lease takes three steps β you can move back and forth between them before confirming.
Step 1 β Parties & spaces
- Landlord β select the landlord entity.
- Tenant β select the tenant company.
- Lease number β internal or external reference ID.
- Building β where the leased spaces are located. Click + Add building to cover spaces across multiple buildings.
- Floor and suite β floor, suite name/number, and space type. Click + Add space for additional suites.
Step 2 β Lease terms
- Commencement date and expiration date
- Area (SF) β total leased square footage
- Annual rent ($) β base annual rent (rent per square foot is calculated for the list view)
- Lease structure β e.g., gross, net, modified gross
Step 3 β Review & confirm A summary of parties, spaces, and terms is shown. Verify everything, then click Create lease.
Edit a lease record
- Click the lease row to open the detail view.
- Update the relevant fields.
- Click Save.
Filter leases
Use the filter controls to narrow records by:
- Status β Active, Expiring Soon, Expired, Pending
- Building β Filter to a specific property
- Tenant β Filter to a specific company
Export lease data
- Apply any filters you want included in the export.
- Click Export.
- Download the CSV file.
FAQ
How does lease data connect to the rest of HqO? Leases are linked to tenant company records in CRM > Tenants. Lease term data can inform audience targeting and help property teams prioritize outreach for expiring tenants.
What does "Expiring Soon" mean? A lease shows as Expiring Soon when its end date falls within the next 90 days. The exact window may be configurable β contact your HqO account team if you need to adjust it.
Can I track lease renewals? You can update a lease end date to reflect a renewal. Full renewal tracking and notification workflows depend on your HqO plan configuration.
Is lease data visible to tenants? No. Lease records are admin-only and are not visible in the HqO tenant app or HqO Web.
