HqO

Guides

These guides are for the people who run a building on HqO — from the first time you sign in to the jobs you'll do every week: adding a tenant, getting an event live, checking in a walk-in visitor, taking a booking payment. Each one walks a single job from start to finish, in the order you'd actually do it.

Before you begin

You need:

  • An HqO Admin account with Building Admin permissions
  • Your building configured by your HqO onboarding contact

⚠️ No account yet? HqO Admin access is by invitation — you can't self-register. Ask your building admin or HqO onboarding contact for an invite, or contact HqO Support at appsupport@hqo.co.

Get into HqO Admin

  1. Sign in. Go to gohqo.co/login (US) or ffm.gohqo.co/login (EU). Enter your work email, then your password, and click Sign in. If your company uses Single Sign-On (SSO), you're instead asked to pick your company's identity provider and sign in through it.
  2. Find your way around. You land on the My HqO dashboard — a live overview of your building: user reach, communications performance, today's visitors, upcoming events. The left menu groups every admin page by area (CRM, Experience, Operations, Commerce, Intelligence), and each guide below tells you which menu to open.
  3. Pick the right building. The building selector in the top-left of the header sets the context for everything — data, users and content are all scoped to the building shown there. If a page ever looks empty or a tenant is missing, check the selector first. A building also has to be set to Live under CRM → Buildings before tenants can see it in the app; if yours isn't, that's a conversation with your onboarding contact rather than something these guides cover.

The guides

If your building is new, work down the list in order — launch, your first tenant, your first content, your first communication. Otherwise jump straight to the job in front of you.

How each guide is laid out

Every guide follows the same shape, so once you've used one you know where to look in the next:

  1. Before you start — what you need to hand, and what should already be set up
  2. The steps — numbered, in order, with the exact labels you'll see on screen
  3. Options — the common variations, so you can skip what doesn't apply
  4. FAQ — the things property teams ask most about this job
  5. Where to find the analytics — how to see whether it worked

How these differ from the admin reference

The HqO Admin section describes each page in the admin — every field, every filter, every setting — and is the place to look up what something is. These guides are the place to look up how to get something done: they assume your building is already configured, and when one brushes against configuration it says so and points you to the admin page rather than explaining it.
