Mindbody
The Mindbody integration lets tenants become fitness center members and register for classes and personal training sessions included in their membership, directly in the HqO app. HqO pulls information from Mindbody in real time β no Mindbody data is stored in HqO.
Requirements and Limitations
- Requires Mindbody tier Accelerate 2.0 or higher.
- Paid appointments and paid individual classes are not supported. All purchases must go through contracts β for example, monthly memberships that include class access or class packs.
- Mindbody's API requires that the pricing option assigned to a class, service, or appointment matches a pricing option in the member's contract. If they don't match, the member cannot book.
- Members can only be charged on the sale date. Other Mindbody autopay schedules are not supported.
- Mindbody's API collects credit card information for every contract purchased through the app β including free memberships. To offer free memberships without a payment method, direct users to sign up on the fitness center's website or at the front desk.
Setup
- Complete the activation form with your Mindbody account details. HqO returns an activation code and connection instructions.
- In Mindbody, add servicebooking@hqo.co as both a staff member and a gym member.
- In HqO Admin, create a Service Booking provider and select MBO (Mindbody) as the integration, entering your Studio ID in the Site ID field. See Service Booking for the full provider form reference.
- Choose whether the provider offers Group/class or Appointment services, and optionally upload a liability waiver.
Membership Settings
Three checkboxes on the provider form control the membership experience:
| Setting | What it does |
|---|---|
| Enable membership sign up | Lets users purchase a membership contract in the app |
| Enable registration | Lets users register in the app; without it, users cannot book |
| Promotion Code | Lets users apply a promo code at checkout |
β οΈ Note: Users can purchase only one contract in the app. A user with an active contract cannot purchase another one in the app.
Terminology and Best Practices
- Contracts = memberships. A contract must be linked to classes for them to appear in the app.
- Pricing options are the tiered pricing packages assigned to both contracts and classes. Keep them aligned β a mismatch is the most common cause of booking failures.
- Enable contracts for online sales and configure integrated payments, even for free memberships.
- Avoid requiring gender fields at registration; Mindbody supports adjusting this in its settings.
- Users must sign up for a corporate membership with their corporate email address β the email in Mindbody must match the email they use in the HqO app. Users can keep a separate personal Mindbody login under a different email.
Troubleshooting
Before opening a support ticket, confirm the Service Booking provider settings are correct in HqO Admin, then work through the scenarios below.
A member can't book a class. Ask what the user sees, or request a screenshot. If the button reads Become a Member, the user either isn't a member or is signed into the app with an email that doesn't match their Mindbody membership β typically a personal email on the membership and a corporate email in the app. Have them update their email in Mindbody. If the Book button is greyed out, the member's contract pricing option doesn't match the class pricing option. In Mindbody, go to Services & Pricing > Classes, review the pricing options attached to the class, and confirm the member's contract includes a matching option. Add pricing options to contracts manually or through recurring contract items; for existing members, create a pricing option with an extended expiration date and add it to the client profile.
Non-members don't see "Become a Member." In HqO Admin, verify both Enable membership sign up and Enable registration are checked. If the option still doesn't appear, the user is already a member. If the button appears but is greyed out, check the same two settings and the user's sign-in email. If membership sign-up was deliberately left off, users must enroll on the fitness center's site β consider adding a linkout with explanatory language.
Credit card transactions fail. In Mindbody, go to Manager Tools > Settings > Payment Methods (or Point of Sale > More > Payment Methods on the newer UI) and confirm Allow payments is enabled for both $0 and >$0 transactions. Then, under Services and Products > Contracts, set When will clients be charged? to On the sale date β HqO doesn't support the other scheduling options. If integrated payments aren't enabled at all, contact Mindbody Merchant Support to enable them for API contract sales.
Membership options don't display. After confirming both HqO Admin checkboxes, check Mindbody: under Services and Pricing > Pricing, select the contract and enable Sell Online, and verify the charge date isn't set in the past.
Error after "Continue" on the contact info page. A registration field's validation type (true/false, number, and so on) doesn't match the user's input. Test by leaving the field blank β the flow should proceed to membership selection. Registration and custom fields are configured in Mindbody's Custom Fields and Custom Registration Fields sections.
Ritual (Food & Beverage)
Ritual gives tenants a seamless food and beverage experience from participating restaurants. Users select a customizable food-ordering utility button in the HqO app and are signed into their Ritual account automatically.
What Users Can Do
- Order ahead for contactless pickup and delivery
- Order for delivery to on-premise locations, such as conference rooms
- Order from a table using a QR code or NFC tap
- Browse an optional neighborhood view of nearby Ritual restaurants
Regional Availability
Ritual is available in select cities in North America and the United Kingdom, determined on a per-building basis. Check availability by entering your building's address on Ritual's website.
Onboarding Restaurants
To bring nearby or in-building restaurants onto Ritual, collect the following from each restaurant:
- Whether they already use an online ordering platform
- Their point-of-sale system β Square, Toast, and Clover are compatible; restaurants without a compatible POS can use a free Android device
- Whether they use a POS aggregator (OLO and Chowly are compatible)
- Whether they prefer joint HqO and Ritual onboarding or HqO-only
When emailing a restaurant, include the restaurant name in the subject line, copy your HqO Customer Success Manager, and emphasize exclusive tenant access, sales opportunities, and the special offers program.
Neartail
Neartail is a menu creation tool that lets merchants build custom, mobile-friendly menus. HqO does not maintain a formal integration with Neartail β restaurants' Neartail menus are surfaced through a linkout utility button in the HqO app.
Neartail works best for:
- Smaller vendors without existing online ordering
- Restaurants with static menus
- Catering companies
Points to align on with the vendor:
- Orders submitted through HqO/Neartail are sent to the restaurant by email only
- Payment options: credit card online, or at the register
- Who owns menu building and long-term management
- Pricing β Neartail uses Stripe, which charges 2.9% + 30 cents per transaction, with no commission on top
Neartail supports numerous currencies and is available in most regions.
WaiverSign
WaiverSign lets your property create online forms and waivers that tenants fill out digitally, giving your team a central hub for signed documents. Tenants submit forms in the app and receive email notifications when a form needs their attention; your team creates and manages documents in WaiverSign's back office.
Setup
Contact your HqO Implementation Manager or Customer Success Manager to create a WaiverSign account.
Create a Document
- Sign in at app.resmarksystems.com/login.
- Select CREATE & EDIT DOCUMENTS, then New Document.
- Enter the document name and details.
- Turn off the options for minors (under 18) and adult with accompanying minor.
- Configure the Standard Fields users must complete, and add Custom Fields for any additional information.
- Set a notification email with New Notification so your team is alerted when a document is signed.
- Save, then Publish the document. Publishing is required to generate the link, and required again after any update.
- Copy the document link.
Add the Waiver to HqO
Embed the WaiverSign link as an external link in a content tile CTA, or ask your Customer Success Manager to add it as a utility button.
View Signed Documents
- Sign in to WaiverSign and select SIGNED DOCUMENTS.
- Filter the table by date, name, custom fields, or document name.
- Select Export Documents to receive an export by email.
Valet Manager
Valet Manager is a cloud-based, end-to-end platform for parking operations. The integration uses SAML authentication, so tenants skip re-authentication when opening the feature from the HqO app.
In the app, tenants can:
- View available parking options in their area
- Scan QR codes at parking locations
- Book, edit, or cancel parking reservations
All admin management stays in Valet Manager's back office β HqO supports the tenant experience through the HqO app. The integration is available in North America only. To get started, contact your Implementation Manager or Customer Success Team; the HqO team configures the integration for your site and coordinates testing.
Stripe Connect
HqO uses Stripe to process tenant payments and route funds to your bank account through a Stripe Express connected account. When a tenant purchases a resource or service in the HqO app, funds flow to HqO's Stripe account, then to your Stripe Express account, then to your bank account.
For where Stripe payments appear in HqO Admin, see Resource Booking payment types and the Transactions ledger.
Set Up Your Stripe Express Account
- Open the onboarding link provided by HqO and complete the form.
- Enter your banking information.
- Review your account details.
β οΈ Note: Stripe onboarding links expire after seven days. If your link has expired, request a new one from your HqO contact.
Invite Team Members
- Sign in to your Stripe Express dashboard and select the person icon in the top right.
- Go to Professional Details and confirm your display name.
- Scroll to Team Members and select Invite and Remove.
- Select Add Team Member, enter the team member's email, and select Invite.
- The team member receives an email to verify their account and add a phone number.
Using the Stripe Express Dashboard
| Area | What you can do |
|---|---|
| Overview | Track earnings over time, review payments from HqO, and monitor completed and upcoming payouts |
| Transactions | View all payouts, filter by time period (last day through all time), and filter to bank account payouts only |
| Settings (person icon) | Update email and phone, change language, edit payout and bank account information, and edit professional details |
Payout Timing
In most cases, funds appear in your Stripe Express account immediately after a purchase, depending on the resource or service. Payouts from Stripe Express to your bank account typically take two days in the US and up to three days in other countries.
