Building Guard Workflow

Use these core procedures to manage visitors at your building through Visitor Management, from checking guests in and out to reviewing history and responding to watchlist alerts.

Check in a scheduled visitor

Use this workflow for pre-registered visitors who appear on your expected guest list.

  1. Open the Visitor Management dashboard.
  2. Search for the visitor by name or date.
  3. Confirm the visitor is on the pre-registered list.
  4. Check the visitor's ID. Photo verification is optional.
  5. Issue a badge or mobile credential.
  6. Mark the visitor as Checked In.

Check in a walk-in visitor

Use this workflow for unscheduled guests who arrive without a pre-registration.

  1. Open the Visitor Check-In page.
  2. Capture the visitor's information, including name, host, and reason for visit.
  3. Verify the visit with the host or follow building protocol.
  4. Check the visitor's ID if required.
  5. Issue a badge.
  6. Mark the visitor as Checked In.

Activate and print a visitor badge

When your building is connected to an access control system, additional badge options appear after you check a visitor in.

  1. Confirm the visitor's identity and appointment on arrival, then mark them as Checked In using the Status dropdown.
  2. If the visitor's badge shows Activated, direct them to an authentication point to scan the QR code from their invitation email, or print a physical badge.
  3. If the visitor's badge is not yet active, click Activate to activate their QR pass.
  4. Use the connected printer to issue a physical badge if needed.

Monitor entry activity

With an access control integration, guards can monitor real-time authentications at entry turnstiles. If a visitor has trouble scanning their QR code, assist them manually by printing a physical badge.

Check out a visitor

  1. Locate the visitor in today's log.
  2. Click Check Out.
  3. Collect the badge or credentials if applicable.

View visitor history

  1. Open the Visitor Management panel.
  2. Filter by date, name, or status.
  3. Export or review the records as needed.

View watchlist alerts

A watchlist alert flags an individual during check-in so you can follow your building's escalation procedure.

  1. Receive a pop-up or highlighted record when a flagged visitor attempts to check in.
  2. Review the photo and notes.
  3. Follow the escalation procedure, such as notifying a supervisor or security lead.
