Bulk Visitor Registration

Bulk visitor registration lets you register multiple visitors—each with their own host, arrival date, and time—in one workflow instead of submitting individual forms repeatedly, making it ideal for conferences, large events, and staggered meetings.

Overview

The bulk visitor registration feature offers several benefits:

  • Flexible scheduling: Each visitor can have a unique host, arrival date, and time.
  • Live visitor list: View all entries before submission in one organized list.
  • Reduced re-entry: Eliminates reloading forms for each new visitor.
  • Event coordination: Ideal for conferences, large events, and staggered meetings.

Get started

  1. In the Visitor Management dashboard, select the Create visit dropdown and choose Bulk visit.
  2. The bulk visitor invites modal appears.
  3. Choose your method: enter details manually, upload a CSV file, or invite a previously created group.

Available fields

When registering visitors manually, the following fields are available:

  • Profile photo
  • Email
  • First name
  • Last name
  • Start date
  • End date
  • Start time
  • End time
  • Host
  • Check-in preferences
  • Max number of entries
  • Notifications
  • Note for visitor
  • Front desk note
  • Internal additional recipients
  • External additional recipients

CSV upload format

To register visitors in bulk by file, upload a CSV file no larger than 5MB. Only the CSV format is supported.

Manage the visitor list

While building your list manually, use the following options:

  • Add visitor: Adds another form line.
  • Add visitor with same details: Duplicates the previous entry so you can quickly modify only the fields that differ.
  • Save as group: Select this checkbox to save the visitor list for future use (for example, "Marketing Team").

Handle errors

The system displays the total number of errors with a dedicated tab showing the affected rows. Hover over an error icon to see a description of the issue.

Submit visits

  1. When your list is ready, select Create visits.
  2. Monitor the loading bar as the visits are created.
  3. Upon completion, you receive a confirmation and the visits appear immediately in the Visits table.
