General Settings

Use general settings to control how Visitor Management sends notifications, what information visitors provide, how visitors check in, and the default dates applied to visitor invitations.

Access general settings

To open general settings:

  1. Navigate to the Visitor Management page.
  2. Click the gear icon to open Settings.
  3. Open the General settings section.

Administrator email

Configure where notification emails should be sent.

OptionDescription
NoneNo notifications are sent to a custom email.
Custom email(s)Allows all visitor host notifications to be sent to a custom email.

Host email

Configure for this building whether the user hosting the visitor should receive an email.

OptionResult
YesThe host receives visit emails.
NoThe host does not receive visit emails. This is the default.

Visitor fields

Configure which contact information is asked for and required when registering a visitor.

Visitor fields determine which fields appear:

  • Email
  • Phone

Required fields determine which fields a visitor must complete:

OptionDescription
Both email and phoneBoth fields are required.
EmailOnly email is required.
PhoneOnly phone is required.
Either email or phoneThe user can enter one or the other.
NoneNo contact field is required.

Check-in default

This configuration allows administrators to define how visitors are expected to check in when creating a visit in the system.

Check-in options:

OptionDescription
Check-in at deskThe visitor must check in with security or reception upon arrival.
Bypass deskThe visitor can skip the front desk and go directly to their destination.

Default option: Select a specific check-in option as the default, or choose No default so hosts must select manually when creating a visit.

Tenant check-in overrides: Enable exceptions that allow specific tenants to use different check-in defaults than the building-wide setting.

Date & time for visitor invitations

Define the default start time and end time for visitor invites.

Furthest future invite date: Set a maximum time into the future that tenants can schedule visitor invitations. The default is 1 year, and it is configurable by days, months, or years.

Notes

Communicate with visitors by allowing custom Notes to be added to a visit invitation. Activate this feature with the toggle.

Alternative host

Allows an alternate user to be selected as the host, helping ensure that notifications are delivered properly. This setting is disabled by default.
