Landlord Roles
Visitor Management uses three landlord roles to control who can manage visitors, employees, and check-ins across your tenants and buildings.
This guide explains the Super Admin, Security Admin, and Building Guard roles and the permissions each one grants. Assign roles based on the level of access each member of your team needs.

Super Admin
The Super Admin role has full access across all tenants and buildings, including the ability to assign admin roles to other users. Super Admins can:
- Add, edit, and cancel visitors for any tenant across buildings.
- Add, edit, and delete employees for any tenant across buildings.
- Add the User Admin role to other users.
- View all visits for any tenant.
- Access host notes to the building front desk.
- Notify hosts.
- Resend visitor invitations.
- Search, check in, and print passes for visitors.
- Search, check in, and print passes for day pass users.
- Create vendor visits.
Security Admin
The Security Admin role has the same permissions as a Super Admin, except for managing employees and assigning admin roles. Security Admins can:
- Add, edit, and cancel visitors for any tenant across buildings.
- View all visits for any tenant.
- Access host notes to the building front desk.
- Notify hosts.
- Resend visitor invitations.
- Search, check in, and print passes for visitors.
- Search, check in, and print passes for day pass users.
- Create vendor visits.
A Security Admin cannot manage employee profiles or add the User Admin role to other users. Assign a Super Admin when you need someone to manage employees or admin roles.
Building Guard
The Building Guard role has front-desk access limited to the tenants in their assigned buildings. Building Guards can:
- View all visits created for tenants in their buildings.
- Access host notes to the building front desk.
- Notify hosts.
- Resend visitor invitations.
- Search, check in, and print passes for visitors.
- Search, check in, and print passes for day pass users.
- Create vendor visits.
A Building Guard cannot add, edit, or cancel visitors, add, edit, or delete employees, or assign admin roles.
Invite a building guard
To give a guard access to Visitor Management, invite them to the platform:
- Log in to the HqO platform, selecting your building if needed.
- Select Manage Team in the top right.
- Enter the guard's email address.
- Select the buildings the guard should have access to.
- Select the appropriate guard role.
- Click Invite.
Invited team members have 24 hours to accept the email invitation. If the invitation expires, send a new one.
